Behind the Scenes

Ever wonder what is going behind the scenes on wedding days? We have some insight that may interest you! There is a lot of work that goes into setting up for a wedding, and it takes all a team full of vendors working together to pull it off. Here are a few of the things that vendors do while setting up for a wedding:

Venue Manager

The venue manager is someone you may not even notice throughout the night. However, they are always there and have been for the entire day! In fact, the venue manager is the first to arrive and the last to leave. They arrive around 8:00-8:30am and do not leave the venue until 12:30am. Their job is to arrive at the venue to open the doors, assist the vendors throughout the day, enforce venue rules, and make sure the day runs smoothly. They are such an important part of the day, and the wedding would not be able to happen without them.

Coordinator

When you walk into a reception area, the first thing you notice is all of the beautiful decor and tables for things like a sign-in book, gifts, and cake. More than likely, this was work was done by the wedding coordinator. There are typically one or two coordinators on the day of the wedding, and like the venue manager, they have been on site the entire day. They are involved in every part of the wedding day from setting up ceremony, reception and cocktail hour, to coordinating all of the reception events like first dances, cake, toasts, and exit. The coordinators are also responsible for making sure all of the vendors are doing their jobs and that the bridal party stays on top of things throughout the day and make it down the aisle smoothly. They pin boutonnieres, line up the wedding party in order, send them down the aisle, and make sure they are ready for grand entrance. You may see them running around throughout the night, and remember that they are extremely crucial to the success of the wedding!

Florist

The florist is also one of the people who arrive early on wedding day to get a jump start on their work. They have to be done early so the photographer can begin taking detailed photos before guests arrive, and also make sure the ceremony site is ready in time if they are also placing floral arrangements there. Occasionally the florist will make their arrangements on site, but we like to have the bouquets and arrangements ready a couple of days in advance to save time and stress on wedding day! Florists order their flowers in advance and receive them about one week before wedding day. They begin processing them (cutting and cleaning stems, placing in water, etc.) a few days before the wedding, and work hard to make sure every detail is perfect, since their work is one of the main attractions.

Photographer

The photographer arrives fairly early in the day, depending on if they are taking getting ready photos or not, but they are there early enough to take detailed photos before guests arrive for ceremony. Their job is vital to the memories the couple will have of their special day. They are constantly working from the time they arrive at the venue, to the time they leave after exit. They begin with detailed or getting ready photos, then go into pre-ceremony photos. Ceremony photos are next, followed by family/wedding party photos, and usually the couple takes sunset photos during the reception. Reception photos and exit photos are the last to be taken, and then the photographer’s work is done. Now you see why they are one of the vendors that works non-stop all day. Check out our blog about how long to hire a photographer for more education on wedding photographers!

Next time you attend a wedding, don’t forget to look around and appreciate everything you see, because there was a team of people who worked hard all day to make the wedding so beautiful and such a success!

White Wedding Inspo by San Antonio Wedding Planner

Wedding planning by Touch of Whimsy Design and Coordination, a San Antonio Wedding Planning company. Designed for a bride at the Southwest School of Art.

Touch of Whimsy, a San Antonio Wedding Planner, plans a white and blue wedding at the Southwest School of Art

The Story:

It’s time for another wedding flash back. Last year, Mikenzie and Bryan won the cutest couple of all time award. At least in my head they did. lol Their wedding day was full of life, joy, beautiful white flowers, and…as you can see their adorable faces. So cute. Since their wedding was in April, naturally, Mikenzie decided to embrace some of the exciting traditions of Fiesta. For those of you who don’t know, Fiesta is basically a two week party in San Antonio with lots of food, shopping, a parade, and juice…..(well, adult “juice”) — that’s what I tell my son I’m drinking at dinner lol. Don’t judge. I like wine and you know you do too. Plus, being a San Antonio wedding planner is no joke haha.

Anywho — The Details:

Mikenzie decided to embrace some of these wonderful traditions, like the flower crowns. You can see these below. Just look for the adorable girl in the white dress, dancing her booty off. She also had quite the eye for fashion. From her Badgley Mischka shoes to her Chanel perfume Mikenzie was perfectly dressed. Ashley Arnold had a hand in her beauty look, as well. She went with a soft wave and subtle pink lip to compliment the look.

Her flowers were also stunning. Thanks Elegant Bee! The subtly of the various tones of white and ivory perfectly complemented the greens and soft blues. The perfect combination for a white and blue, spring wedding.

Hill Country Citrus Inspired Wedding at The Prospect House | Brittney + Mitch

Touch of Whimsy Design and Coordination with Lyndsay Lyon Photography, The Prospect House, and Black Petal Floral Design create a beautiful citrus inspired, hill country wedding

It’s time for a wedding flash back TOW family! Brittney and Mitch’s citrus inspired Hill Country wedding was one of the most perfectly styled weddings we have seen in a very long time. Our beautiful bride had an incredible eye for color, texture, and overall character. Together, with Lady D from Black Petal Floral Design, she created a citrus inspired look, complete with an ombre wall of poppies, personalized place cards, and incredible signage. My favorite element was the smilax adorned walls and ceiling. Be sure to flip through the photos below for a peak into this enchanting greenery.

Touch of Whimsy Design and Coordination with Lyndsay Lyon Photography, The Prospect House, and Black Petal Floral Design

This was our first wedding at The Prospect House, and I can not wait for the next. The owners were so easy to work with. They created the perfect canvas. It allows brides to think outside the box of traditional wedding decor to create something which is truly unique to their personal style. With a slightly urban vibe and a rural location, it is the perfect mixture of hard and soft.  For that reason, you will find no other venue like The Prospect House in Austin or the surrounding areas.

As a planner, I loved working with Brittney and Mitch. Brittney had a calm essence to her throughout all of our meetings and she knew exactly what she wanted. That makes my job so much easier! Luckily, we were blessed with perfect weather and a great vendor team(Also really important to have). A vendor team can make or break a wedding. Before you book your vendors, be sure to tune in next week for our “How To Book the Perfect Vendor Team”  blog. When you have a group of rockstar vendors, your night is sure to go off without a hitch. Insert happy dance here!

So without further ado, I give you Brittney & Mitch’s Citrus Inspired Hill Country Wedding!

Colorful Summer Wedding at Chapel Dulcinea

Weddings come in all sizes, shapes, and colors. Some are subtle and soft. Some are bright and vibrant. Rachel & Jake’s colorful summer wedding was nothing shy of bright and vibrant. From the glowing smiles to the rich floral bouquet this wedding brought joy to every guest. We can’t thank the incredible Dawn Richardson with Dawn Elizabeth Studios enough for capturing these shots for us. Rachel asked us just a few weeks ago to create a vibrant, summer bridal bouquet and boutonniere for her simple, but joyful wedding at Chapel Dulcinea. Her vision was a hill country elopement to celebrate the love between her and Jake.

I can not help but feel a little envious. I remember being so stressed about creating the “perfect” wedding day that I forgot to enjoy the time given to me. There are all of these little details that seem to pop up week after week. This may seem crazy coming from a wedding planner, but really there is two simple solutions to the crazy stress that comes along with wedding planning. First, hire a wedding planner! Whether our job is solely on wedding day throughout the entire wedding process, we will be there to create a relaxing atmosphere for your big day. Second, you could have a simple elopement like Rachel & Jake.

Now you’re wondering….how can I possibly get past the traditional planning and create a relaxed, simple celebration for my closest friends and family. Check out our blog next week for 5 easy ways to melt away the wedding stress. Rachel & Jake chose to forget about the hustle-and-bustle and created a simple celebration for their families. Close family, a beautiful dress and bouquet, tasty cake, and good music….what more do you really need? Simplicity at it’s finest!

For more inspiration be sure to scroll down to see more from Rachel & Jakes’s Hill Country Summer Wedding. You do not want to miss this!

Thank you to all of the vendors who provided fantastic support and service for our beautiful bride and groom.

Beautiful Boho Wedding at Lost Mission

It’s been almost a year since Jessica and Tony said I do! We are finally able to show off the beautiful images captured by the uber talented Dawn Elizabeth Studios. Generally, we tried to share the love of our brides within a month or two, but….this one was under lock-and-key while in the queue for TWO publications. We are honored to announce that Jessica & Tony’s wedding is featured in Boho Weddings and the latest issue of San Antonio Weddings Magazine. Be sure to check them out!

Boho Wedding | The Details Matter

Every detail of this wedding was thought through with beautiful creativity and a touch of boho. From the hand-made dream catchers to the towering candle holders (hand-craft by the groom…yes they can do more than select the adult beverage choices lol) our bride took careful thought and care. It takes a special eye to choose such a unique color pallet and style. The fall-inspired pallet was full of rich, warm hues and adorned with beautiful metallic touches. Mrs. Jessica even thought to coordinate the colors of their wedding bands. The bridesmaids wore trendy floral print gowns paired with simple greens and white blooms. This was intentional as we wanted the blooms to accent the already beautiful and unique dresses. For our lovely bride, we created a delicate crown of ruscus and roses (try saying that 10 times fast).

For more inspiration be sure to scroll down to see all of her wonder details!

So…without further ado I give you Jessica & Tony’s Beautiful in Boho Wedding!
